How to send an Invoice
Invoicing your customers for products or services allows you to streamline payment collection while documenting the transaction for your records. Paysley puts flexible and mobile invoicing capabilities right in your dashboard. With features like templates, variable due dates, review & approval workflows, payment links, and automated reminders – sending invoices and getting paid is more convenient than ever. This article will walk you through the key steps for creating, sending, and collecting payment on invoices using your Paysley account. Note that you can attach any invoice or document to a Paysley payment request or use the Paysley invoicing management system to generate invoices for you automatically.
Customize your Invoice Template
Log in to your Paysley dashboard at https://merchant.paysley.com/en/home/login.
Step 1: Check the top right corner of your dashboard and click on your email address. Select ‘Invoice Creator’ from the drop-down menu to access your invoice configurations screen.
Step 2: Although, you will have the option to select the text and email message when creating a payment request. Setting the default message will make sending invoices even faster.
Step 3: If you’re going to create product and service-based invoices, toggle the switch to ‘Yes.’
Step 4: Then, select your preferred invoice number generator. If you choose to, you can add additional information to the body or footer of your invoices.
Step 5: Use the tags at the lower part of your invoice configuration screen to automatically add additional information like your customer’s name and the amount payable to the information.
Remember to save your changes before you leave this page.
Sending your first Invoice
Step 1: From the left navigation bar, select ‘My Invoices.’ Then, click ‘Create New Invoice.’
Step 2: Type the customer’s name in the customer’s data field and select the customer from the auto filter options. If the customer’s details aren’t on your database already, you can choose to add a new customer.
Step 3:(Optional) Toggle the switch to ‘Yes’ if you want to select products and services from your inventory. Start typing the name of the product or service in the data field. Select the product or service from the auto filter. *
Step 4: (Optional) Add a reference number, select the due date, select the terms, add a description, and select a tax profile (if applicable).
Step 5: To proceed, click the “Next” button and select the message template field to display your available messages. Choose your preferred message (if you do not want to use a default message). Then, you can also select a phone number (if you do not want to use the default phone number) to send the text message.
Step 5: Indicate how you want the invoice or payment request delivered. If you want the customer to complete the shipping information on the payment page, toggle the shipping information switch to ‘Yes.’ If you activate ‘Auto Invoicing,’ Paysley will automatically generate and send the same invoice at the same time you specify every month until you cancel the invoice.
Step 6: Select whether you want your customer to receive a payment receipt other than the payment confirmation when they make payment. Paysley will always generate and attach an invoice when sending payment request. You can select ‘not to attach an invoice’ or ‘attach a different document.’ Then, click ‘Save’ to save the invoice and payment request and send it later, or click ‘Save & Send’ to save and send it immediately. Your invoices and payment requests are listed in your ‘My Invoices’ section.
View & Manage open Invoices
Click on the ‘Arrow’ icon to view the details of your payment request. You can also access a variety of options by selecting the actions icon. You can edit the payment request, download it, pay it using the virtual terminal, resend the request, or delete it. Once the customer makes payment, the status will change to ‘Paid.’
